What It Does

HubSpot CRM is a customer relationship management platform that tracks every interaction with your leads and customers. It stores contact details, logs emails and calls, tracks deals through your sales pipeline, and gives you a clear view of where every opportunity stands.

For UK small businesses, it replaces the spreadsheet, the sticky notes, and the “I’m sure I emailed them back” uncertainty. Every team member can see the full history with every contact, and nothing falls through the cracks.

Who It’s For

Any business that regularly wins new customers or manages ongoing client relationships. If you get more than 5 new enquiries per month, a CRM stops being a nice-to-have and starts being essential. HubSpot’s free tier is generous enough that there’s no reason not to use it.

Particularly strong for consulting firms, agencies, professional services, and B2B businesses where the sales cycle involves multiple touchpoints. Also excellent for startups that need a CRM but can’t justify the cost of Salesforce.

UK-Specific Notes

The free CRM is genuinely free with no time limit and no catch. Paid plans (Starter, Professional, Enterprise) are priced in GBP, starting at £15 per month per seat for Starter. The free plan includes up to 1,000 contacts with unlimited users.

HubSpot has a UK office and UK-specific support. Forms and landing pages support GDPR consent checkboxes out of the box. Email templates comply with UK marketing regulations.

Key Features

Contact and Deal Management
Store every interaction with every contact in one place. See the full history of emails, calls, meetings, and notes. Track deals through customisable pipeline stages from first contact to closed.
Email Tracking and Templates
Know when someone opens your email. Save and reuse your best-performing emails as templates. Send personalised sequences to nurture leads automatically.
Meeting Scheduler
Share a booking link that lets prospects choose from your available times. Syncs with Google Calendar or Outlook. Eliminates the back-and-forth of scheduling meetings.
AI-Powered Email Writer
HubSpot’s AI drafts follow-up emails, meeting recaps, and outreach messages based on your contact’s history and your previous communications.
Reporting Dashboard
Track your pipeline value, conversion rates, response times, and team activity. See at a glance whether your sales process is healthy or where the bottlenecks are.

Setup & Complexity

🟡 Moderate. Initial setup takes a few hours

Creating an account takes minutes. Setting up your pipeline stages, importing existing contacts, and connecting your email takes a few hours. Allow a week for your team to get comfortable with logging activities consistently.

Time to value: 2 to 3 weeks. The first week is setup and habit building. By week 3, you have a clear pipeline view and your follow-up game has improved dramatically.

How We’d Use It

If you’re a consulting firm with 8 consultants:

Week 1: Import your existing client list from spreadsheets. Set up your sales pipeline stages (Lead, Discovery Call, Proposal Sent, Negotiation, Won, Lost). Connect your email so HubSpot logs all client correspondence automatically.

Week 2: Create email templates for your most common touchpoints: initial follow-up after a networking event, proposal cover email, post-meeting thank you. Share the meeting scheduler link on your website and LinkedIn.

Month 2: Set up a simple automation: when a deal moves to “Proposal Sent,” schedule a follow-up task for 5 days later. When a deal is won, trigger the onboarding email sequence. Your sales process now runs itself while you focus on delivery.

Pros & Cons

✓ What’s Good

  • Genuinely generous free tier (not a trial)
  • Clean, intuitive interface that teams actually adopt
  • Excellent email tracking and templates
  • Meeting scheduler eliminates back-and-forth
  • GBP pricing on paid plans
  • GDPR-compliant forms and contact management

✗ What’s Not

  • Paid plans get expensive quickly
  • Contact limits can sneak up on you
  • Professional plan is a big jump from Starter
  • Free plan includes HubSpot branding on forms and emails
  • Can feel like overkill for very small businesses
  • Reporting on free plan is limited

Our Verdict

HubSpot CRM is the best free CRM for UK small businesses, full stop. The free tier is genuinely useful (not a 14-day trial that nags you to upgrade) and it solves the fundamental problem of “I don’t know where we stand with our prospects and clients.”

The caveat is cost at scale. Once you need the Professional features, you’re looking at £350 per month, which is a serious commitment. For most small businesses, the Free or Starter plan does the job.

Bottom line: If you don’t have a CRM, start with HubSpot Free. If you have a CRM you hate, switch to HubSpot Free. It’s the easiest win in your tech stack.
